Basic Statement of Responsibilities
Assists the Associate Dean of Nursing Education to provide office management and secretarial support for the Nurse Managed Wellness Clinic (NMWC).
Meets Performs the secretarial administrative needs of the Wellness Clinic (NMWC).
Maintains cleanliness of the NMWC.
Essential Functions
Serves as the contact person for the Nurse Managed Wellness Clinic.
Answers the telephone in a professional manner and handles accordingly.
Schedules appointments, takes messages, and directs calls.
Receives and directs clients and visitors to the clinic.
Schedules clinic services, programs, and other activities.
Develops and edits professional correspondence for internal and external use.
Maintains electronic calendar of activities for the office and makes appointments.
Performs any copying, typing, and computer entry as needed.
Responsible for daily mail and print shop requests.
Adheres to established clinic policies and procedures.
Enters, records, stores, and maintains information in written or electronic form and maintains files.
Maintains client confidence and protects operations by keeping information confidential
Maintains cleanliness of the NMWC
Provides routine cleaning of all areas of the clinic- exam rooms, med/lab room, office, classroom, counseling room, bathroom, hallway, and reception areas
Daily disinfecting of patient care areas and non-critical care devices
Inventory and re-stocking disinfecting wipes and hand hygiene supplies
Collects and disposes of trash, biohazardous materials and garbage
Provides for decontamination and disposal of biohazardous wastes (i.
e.
, blood, body fluids)
Participates in annual trainings and/ or policy updates of infection control policies.

Assists in making referrals to outside community agencies.

Assists in maintenance of the financial records for the office budget for the Wellness Clinic.

Researches, inventories, processes purchase orders and verifies receipt of necessary office and clinic supplies for the Wellness Clinic.
16.
Collaborates with Medical Laboratory Technology to research and process purchase orders for clinic supplies.
17.
Responsible for financial transactions of the clinic, such as billing and payments.
18.
Completes insurance and claim forms.
19.
Assists in making arrangements for Nurse Managed Wellness Clinic Committee meetings.
20.
Records minutes of clinic related meetings.
21.
Keeps office equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventative maintenance and calling for repairs, when necessary.
22.
Assumes other duties as assigned.
Education, Experience, and Specialized Skills
Associate Degree with Medical Secretarial preferred.
Minimum of 2 years of experience in medical office, clinic or hospital type setting.
Understanding of general office procedures, personal computing operating systems (Windows, Word, Excel, Access, etc), internet, office machines, business etiquette.
Time management and human relation skills.
Knowledge of medical terminology and aseptic technique through formal education or previous experience in environmental care within a healthcare setting.
Knowledge, Skills, and Abilities
Computer skills, (Microsoft Office Suite and Point-N-Click System for patient records) knowledge of medical terminology, aseptic technique, Standard Precautions and use of Personal Protective Equipment (PPE) such as gloves and Hand Hygiene procedures.
Familiarity with Material Safety Data Sheets (MSDS) for cleaning products, and common healthcare patient-care equipment.
