The general role of the Contract & Documentation Manager is to coordinate with Engineering and Automation Managers and other management and personnel to assist with proposals, contract management, and performance tracking for various projects as assigned.
This position will be responsible for providing quality control to include documentation through the completion of the project.
The Contract & Documentation Manager will work closely with Project Managers, Engineers, Sales Managers, etc.
to support new business development and the fiscal management of projects.
This individual will have a thorough understanding of all aspects of project accounting and documentation must be proficient with the products and services offered by Pillar Innovations and must be flexible and willing to work extended hours as needed.
This position may require some infrequent travel to customer sites.
The Contract & Documentation Manager will report to the Senior Project Manager and will work primarily out of the Pillar Grantsville office.

to provide and assemble efficient and competitive proposals Utilize and assist in developing standardized bid methods and unit pricing Participate in pre-bid meetings, bid review, project start-up, pre-construction meetings and post construction meetings Submit bids that are accurate and timely Ensure best practices and ensure that bids are analyzed and assembled in a manner that promotes effective and efficient execution Evaluate management software and best practices to recommend and implement efficiencies in processes Identify and communicate areas of concern and risk to Management and ensure resolution Coordinate and secure subcontractor agreements as required Coordinate to ensure proper purchasing agreements are negotiated and in-place as required Ensure that all anticipated project materials and services have corresponding purchase orders Serve as a point of contact for customers on contractual matters Administer the change order process to ensure that addition work is recognized, approved, documented, and billed Provide quality control for ongoing projects relative to the engineering, design, and implementation of the design Provide and compile accurate and detailed documentation throughout the duration of the project to include OEM manuals, warranties, registrations, etc.
Maintain contractual records and correspondence for each project Maintain project meeting notes, schedule, and SOW Responsible for change orders, RFI’s, submissions, requisitions, and approvals Close-out projects upon completion and assist Accounting with final billing Secure and enter project cost data accurately and timely, per the established cost-accounting template Work with Accounting to ensure cost traceability and to make cost corrections, as required Monitor and report project status and bid costs versus actual on a real-time basis Lead and mentor Assistant Contract & Documentation managers Other Duties This job posting is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required for this position.

Qualifications: Bachelor’s Degree in Engineering, Construction Management, Accounting, Business Management, or related discipline and/or 5+ years of Project Management, Construction Management, Contract Administration or related work experience Valid driver’s license required Possess a sound knowledge of project accounting and documentation principles to include project tracking, unit costs, processing change orders, document submittals, financial reporting, etc.
Possess a working knowledge of Engineering, Fabrication, Machining, Automation, and Manufacturing Proficient in Microsoft Suite to include Word, Excel, Outlook, Power Point, and Microsoft Project Ability to use CAD software a plus Must be able to perform multiple assignments, meet deadlines with changing priorities, and balance the needs of multiple projects Ability to read and understand construction drawings and blueprints Proficient in mathematical applications with a detailed and analytical focus Ability to communicate and present data clearly and effectively both verbally and in writing Experience interacting with customers in a professional manner to maintain positive relationships Ability to work both independently and as a team Working Conditions Sit for long periods of time, talk, listen, observe, read, write, and type Maintain focus in an environment with distractions Additional Eligibility Qualifications Must possess a valid and appropriate state driver’s license prior to employment This position requires the completion of a thorough background and pre-employment drug and alcohol screening.
