Position Overview
Under the direct supervision of the Senior Vice President/Chief Operations Officer, this position provides administrative and secretarial support for the executive staff and department.
The Administrative Assistant deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
Independent judgement is required to plan, prioritize, and organize diversified workload.
Essential Job Functions
Greet visitors or callers and handle inquiries or direct them to the appropriate department.
Maintain scheduling and event calendars.
Establish, develop, maintain, and update filing systems for the executive officers.
Retrieve information from files when needed.
Organize and prioritize large volumes of information and calls.
Draft written responses for replies by phone or e-mail when necessary.
Respond to regularly occurring requests for information.
Act as a liaison with other departments and outside agencies, including high-level staff and board members.
Handle confidential and non-routine information.
Work independently and within a team on special nonrecurring and ongoing projects.
Type and design general correspondence, memos, charts, tables, graphs, business plans, etc.
Proofread copy for spelling, grammar, and layout, making appropriate changes.
Responsible for accuracy and clarity of final copy.
Type and proofread various minutes and operational policies.
Process and balance wires.
Backup phone operator when necessary.
Assist with audit tracking of all prior and current audits.
Track and prepare policy updates.
Order retiree gifts, flowers for businesses, funerals, etc.
Keep up with shareholder maintenance (address changes, file certificates, etc.
)
Send annual shareholder letters and track the proxy/voting responses.
Send annual dividends and 1099s.

Required Education and Experience
Prior administrative experience preferred.

Work Environment
This job operates in a professional office environment.
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Requirements
This is largely a sedentary role; however, some filing is required.
This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Supervisory Responsibility
This position has no supervisory responsibilities
